Conditions of Membership1. Commitment
The success of The CEO Institute’s programs for all members requires commitment to regular attendance on the part of each individual member.
Members receive a copy of the meeting dates for the forthcoming year. If a member finds that they are frequently unable to attend meetings due to conflict with another ongoing commitment, they should notify the Chair so that alternative arrangements can be discussed. Members of The CEO Syndicate program may utilise the ‘alternate’ provision when they are unable to attend meetings.
It is preferable that members arrive approximately 15 minutes prior to the commencement time of the meeting as indicated on the agenda, to enable informal contact with fellow members prior to the punctual start of the formal agenda.
If a member is unavoidably delayed, the Chair or The CEO Institute office should be notified.
2. Apologies
Where a member or alternate (if applicable) is unable to attend a meeting they should notify the Chair or the office of The CEO Institute as soon as possible to enable an apology to be tendered to the group on their behalf.
3. Confidentiality and Privacy
All members (and alternates) must undertake to keep discussions and information exchanged at group meetings strictly confidential. They are required to sign a Confidentiality Agreement prior to attending their first meeting.
Members (and alternates) are also required to acknowledge their acceptance of the Privacy Policy of The CEO Institute.
4. NetworkingThe Members Directory published on The CEO Institute website, provides members with information to assist them in networking with other members of The CEO Institute.
In addition, The CEO Institute hosts events that provide opportunities for contact with the wider membership of The CEO Institute.
Whilst networking opportunities are available, members are not encouraged to make direct contact with the wider membership of The CEO Institute by mass direct marketing (mail or electronic) or the like for the purposes of selling products or services. Should a member wish to contact the wider membership they must contact the relevant office of The CEO Institute in the first instance.
5. Program DeliveryThe CEO Institute reserves the right to vary the program delivery from time to time. This may include site visits or special events in lieu of the standard meeting format. Occasionally meetings may not have an expert speaker.
6. Meeting DiscussionsWhilst The CEO Institute recognises that meeting discussions encourage a full and frank exchange of ideas and views, it is not responsible for any advice or recommendations arising out of meetings from the Chair or members.
7. Expert SpeakersExpert speakers are external to, and independent of, The CEO Institute. The CEO Institute is not responsible for any advice or recommendations which arise either during or subsequent to their presentations.
8. Payment of Membership FeesFees are to be paid quarterly in advance by the member’s organisation (unless other arrangements are confirmed in writing).
No refund applies in respect of non attendance at scheduled monthly group meetings.
The member warrants they either have the authority to bind their organisation in respect of their membership fees or have obtained the relevant authority to do so.
9. Notice of ResignationMembers are required to make an initial twelve (12) month commitment to attend scheduled meetings and pay membership fees for the twelve (12) month period. Thereafter, three (3) months' notice of intention to resign from The CEO Institute is required, in writing. The member is encouraged to attend the meetings, and published events, during this resignation period.
The CEO Institute may suspend or terminate membership in a range of circumstances including:
The purpose of such notice of intention to resign is to provide (in part) The CEO Institute with sufficient time to select a suitable replacement to ensure continuity of members within the particular group.
10. Termination of Membership
a) Failure to pay membership fees;
b) Failure to attend meetings on a regular basis;
c) Bringing the name or standing of The CEO Institute into disrepute; or
d) The continued membership is not in the best interests of The CEO Institute for any reason. -
Privacy Policy
The CEO Institute understands that it is an individual’s right to keep their personal information private. We are committed to protecting and maintaining the privacy, accuracy and security of members’ personal information.
Federal Privacy Laws and The CEO Institute
Federal Privacy Laws became effective from 21 December 2001. The legislation regulates the way organisations can collect, use, keep secure and disclose personal information.
Businesses are required to handle personal information in accordance with the Australian Privacy Principles as outlined in the legislation.
The CEO Institute is bound by and supports the Australian Privacy Principles for the handling of personal information.
What kind of information does The CEO Institute collect?

Members and associates and their businesses prior to and during the course of their association with The CEO Institute

The CEO Institute collects personal information via forms filled out by members, staff or sales representatives, face-to-face meetings, interviews, surveys and telephone calls.
Personal information provided by other people
In some circumstances The CEO Institute may be supplied with personal information about an individual from a third party, eg, a referral from an existing member, Chair, staff or sales representative.
Photographs and video of your image
When attending functions and events organised by The CEO Institute, members may be photographed or videoed and unless an objection is raised at the time, members are deemed to consent to such photography and video being used and reproduced in The CEO Institute’s publications, marketing collateral, websites, social media and other promotional material.
Updating and correcting personal information
The CEO Institute endeavours to ensure that the personal information it holds is accurate, complete and up-to-date. A person may seek to update or correct their personal information held by The CEO Institute by contacting The CEO Institute at any time during business hours or via email.
Management and security of personal information
The CEO Institute has in place steps to protect the personal information The CEO Institute holds including locked storage of paper records and pass-worded access rights to computerised records both on the premises of The CEO Institute and on The CEO Institute’s website.
How will The CEO Institute treat sensitive information?
Sensitive information means:
Information relating to a person’s racial or ethnic origin, political opinions, religion, trade union or other professional or trade association membership, sexual preferences or a criminal record and health information.
Unless you agree otherwise, or is allowed by law, sensitive information will be used and disclosed only for the purpose for which it was provided or a directly related secondary purpose.

Members’ rights
Under the Commonwealth Privacy Act, an individual has the right to access any personal information which The CEO Institute holds about them and to advise The CEO Institute of any perceived inaccuracy.
Complaints
Any complaints about a breach of the Australian Privacy Principles should be addressed in writing to ‘The Chairman & Chief Executive Officer, The CEO Institute Pty Limited, PO Box 297, Glen Iris, Victoria 3146’. The CEO Institute will investigate the complaint and respond in writing within 21 days.
Disclosure to overseas recipients
The CEO Institute may disclose personal information to persons in New Zealand, USA and any other country or territory where The CEO Institute has members residing. Such disclosure will be on the same basis as set out in this policy, except that The CEO Institute cannot take steps to ensure that the overseas recipient does not breach the Australian Privacy Principles and to this extent, subclause 8.1 of the Australian Privacy Principles will not apply.

Confidentiality Agreement
The CEO Institute identifies the conditions under which we ask each member of The CEO Institute to adhere to. For the benefit of each member.
During the course of our meetings and your participation therein and in discussions you might have with The CEO Institute or other members outside group meetings, there may be the disclosure of confidential information. The information likely to be disclosed includes, but is not limited to, particular problems which an individual and / or organisation has had or is currently experiencing, particular financial information, trade secrets and business contacts and arrangements.
This confidential information has significant commercial value and its unauthorised use or disclosure may cause damage.
In consideration of our mutual disclosures, and on the basis that each member of The CEO Institute is to give this same commitment, The CEO Institute asks that each of the members confirm his/her agreement that he/she will keep confidential all information disclosed by any other member and, without the prior written consent of the person who disclosed the information, that he / she will not:
a) Disclose information to any other person;
b) Use the information except for the purposes of the discussion;
c) Copy any information; or
d) Transmit by telecommunication (including facsimile, interent, sms or email) the information to any person (including each member of The CEO Institute)
The CEO Institute considers the privacy of its members a priority in all its activities.
